Privacy Policy

Westpro Landscaping Ltd. ("Westpro," "we," "us," or "our") respects your privacy and is committed to protecting the personal information you share with us. This Privacy Policy explains what personal information we collect through our website at westproltd.ca (the "Site") and in the course of providing our landscape maintenance services, how we use it, and the choices you have.

We handle personal information in accordance with the British Columbia Personal Information Protection Act (PIPA) and, where applicable, the federal Personal Information Protection and Electronic Documents Act (PIPEDA).

1. Personal Information We Collect

Information you provide to us

When you request a quote or contact us through the form on our Site, we collect the information you choose to provide:

  • Your name
  • Email address
  • Phone number
  • The address of the property you would like quoted
  • Any details you include in your message about your project

We collect the same kinds of information when you contact us directly by phone or email. When you request or purchase our services, we may also collect your company name, billing and service addresses, contact-person information, quote and contract details, service history, invoicing and payment status, property-access instructions, communications with us, and other information reasonably required to provide and administer the services you request. Property-access information, such as gate codes, is treated with heightened care and shared only with those who need it to perform the work.

Information collected automatically

When you visit the Site, our hosting provider, Netlify, Inc., may automatically process technical information such as your IP address, browser and device information, requested pages, and the date and time of the request. This information may be processed to deliver, secure, monitor, and maintain the Site. We do not currently use a separate website analytics or advertising service; however, third-party content such as the embedded Google map on our contact page may collect technical information as described in section 8.

2. How We Use Your Information

We use the personal information we collect to:

  • Respond to your inquiries and requests
  • Prepare and deliver quotes for our services
  • Schedule, perform, and invoice landscape maintenance work
  • Communicate with you about ongoing work
  • Maintain business and accounting records
  • Protect the Site and our business against spam, fraud, and misuse
  • Comply with legal and regulatory requirements

We do not use your personal information for any other purpose without first obtaining your consent, unless permitted or required by law.

3. Consent

When you voluntarily provide personal information to request a quote, contact us, or obtain our services, we collect, use, and disclose it for the purposes identified at the time of collection and as described in this policy. In other circumstances, we obtain consent where required or rely on another basis permitted by law. You may withdraw your consent at any time, subject to legal or contractual restrictions and reasonable notice, by contacting us using the details below. If you withdraw consent, we may be unable to provide you with certain services.

We send commercial electronic messages only with consent or as otherwise authorized by Canada's Anti-Spam Legislation (CASL). Commercial messages will identify the sender and include a method of unsubscribing where required.

4. How We Share Your Information

We do not sell, rent, or trade your personal information. We share it only:

  • With employees, contractors, and service providers that need the information to perform work for us, including website hosting and form processing (Netlify, Inc.), email and communications, cloud storage, scheduling, invoicing, payment processing, accounting, information technology, and professional advisory services such as accountants, insurers, or lawyers. These parties are authorized to use the information only for the services they provide or as otherwise permitted by law.
  • With field crews and landscaping subcontractors who perform work at your property, who receive only the information needed for that work, such as the service address, contact details, and any property-access instructions you have provided.
  • Where required or permitted by law, such as to comply with a subpoena, court order, or other lawful request, or to protect our legal rights.

Storage outside Canada

Some of our service providers, including Netlify, store and process information on servers located in the United States or other jurisdictions outside Canada. While in another jurisdiction, your information may be accessible to that jurisdiction's courts, law enforcement, and government authorities in accordance with its laws.

5. Retention

We keep personal information only as long as reasonably necessary for the purposes described above and to meet legal, accounting, and insurance requirements, after which it is securely deleted or destroyed. Information used to make a decision that directly affects you is retained for at least one year, as required by PIPA.

6. Safeguards

We protect personal information with security measures appropriate to its sensitivity. Our Site is served over an encrypted (HTTPS) connection, form submissions are transmitted securely, and access to customer information is limited to those who need it for the purposes described in this policy. No method of transmission or storage is completely secure, however, and we cannot guarantee absolute security.

7. Your Rights

Subject to limited exceptions under PIPA, you have the right to:

  • Request access to the personal information we hold about you, including information about how it has been used and the organizations to which it has been disclosed
  • Request correction of inaccurate or incomplete information
  • Withdraw consent to certain collections, uses, or disclosures, subject to legal or contractual restrictions and reasonable notice
  • Ask questions or make a complaint about our privacy practices

To exercise any of these rights, contact our Privacy Officer using the details below. We will respond within the time required by law. If you are not satisfied with our response, you may contact the Office of the Information and Privacy Commissioner for British Columbia or, depending on the circumstances, the Office of the Privacy Commissioner of Canada.

8. Third-Party Services and Links

Our contact page includes an embedded Google map. When the map loads, Google may collect information about your visit and set cookies as described in the Google Privacy Policy. See our Cookie Policy for details. This policy does not apply to third-party websites or services that we do not control, and we encourage you to review their privacy policies.

9. Children's Privacy

Our Site and services are directed at businesses and property owners, not at children. We do not knowingly collect personal information from anyone under the age of majority. If you believe a minor has provided personal information inappropriately, please contact us; we will review the circumstances and delete or otherwise address the information as appropriate and permitted by law.

10. Changes to This Policy

We may update this Privacy Policy to reflect changes in our practices, services, or legal obligations. We will post the revised policy on this page with a new "Last updated" date. Where required, we will provide additional notice or obtain consent before using personal information for a materially different purpose.
